Job Description

Job Purpose

The Coordinator, Communications will assist in the day-to-day administrative support of the EVP, Global Communications and Marketing for the Universal Studio Group division. 

Essential Responsibilities

  • Cover the desk (phones, strategic calendar/scheduling, preparing reports and agendas, booking travel, rectifying expenses etc.)
  • Answer telephones, screen calls, route callers, take messages, respond to internal and external inquiries, and provide routine information within scope of authority
  • Function as administrative liaison to departmental staff, other departments, external vendors and consultants
  • Maintain/update press contact database and business contacts
  • Prepare internal and external correspondence as needed
  • Track, reconcile and file departmental invoices/accounting alongside the manager of corporate communications
  • Assist in preparing key dates and other departmental reports for review
  • Assist in meeting preparation including creating presentations and reports outlining key objectives
  • Handle office administrative duties for the Communications office (schedule IT, office supply orders, coordinate drive-ons with security and provide check in instructions, schedule facilities, manage office share drives etc.)
  • Support Communications team on series campaigns and events as needed
  • Maintain standards of strict confidentiality with respect to all matters and documents

 

Qualifications

Basic Requirements:

  • 1+ year of public relations or entertainment industry experience, including internships
  • Experience with Microsoft Office products (i.e. Word, Excel, PowerPoint, Outlook, Canva or Equivalent Application such as Storydoc)
  • Working knowledge of PR coverage tools (i.e. Releasd, Muck Rack, Critical Mention, Cision, etc.)

Desired Characteristics:

  • Bachelor’s degree
  • Superior organization and ability to meet tight deadlines in a fast-paced environment
  • Experience coordinating multiple assignments and projects
  • Excellent writing skills with attention to detail
  • Proactive, highly resourceful, a problem solver, strong external and internal communications skills
  • Ability to exercise a high level of discretion in handling confidential and sensitive information
  • Ability to work both independently and with a team
  • Hard worker with the desire to learn television communications and B2B studio marketing

Additional Requirements:

  • Must be willing to work in Universal City, California
  • Must have work authorization to work in the United States
  • Willingness to work overtime and on weekends with short notice
  • Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week
