Job Description
As a Senior Planner & Coordinator, you will play a pivotal role in the success and execution of our events. You will be responsible for overseeing all aspects of event planning and execution, from sales to initial concept to final execution. While most of the work is remote, this role does require you to be located in the NYC area. Weddings are a major part of our business, we also plan other social and corporate events, so interpersonal skills are a major aspect of this position.
Position Compensation
Hourly part-time to move to salary full-time + commission
Responsibilities:
Client Management:
Build and maintain strong relationships with clients. We get to know our people well.
Understand and exceed client expectations, going above and beyond at every opportunity. This is our special sauce.
Provide exceptional client service throughout the planning process, anticipating clients needs and finding little way to completely elevate their experience, making them feel seen and heard, all while having fun.
Event Planning & Coordination:
Develop and enhance comprehensive timelines, planning spreadsheets, floorplans, contact list, etc.
Manage budgets and vendor logistics.
Oversee event logistics, including vendor research, selection, contract review, and management, including but not limited to catering, rentals, florals, musicians, DJs, hotel blocks, etc.
Coordinate with internal and external teams to ensure seamless execution on the day or weekend of the event.
Leading the team on the day-of event coordination, ensuring exceptional operations and addressing any issues that may arise.
Creative Direction:
Collaborate with Sr Designer and other creative professionals to develop original event concepts.
Oversee the design and production of event materials, such as stationary, installations, furniture, tablescape design, etc.
Bring innovative ideas to the table while also being able to source visuals and concepts online for mood boards, etc.
Team Management:
Mentor and lead assistant team members.
Delegate tasks effectively and manage team workload.
Lead the team with pride, understanding the company brand and vibe, to be an example for assistant team members.
Business Development:
Contribute to business development efforts by identifying and pursuing new opportunities.
Build and manage vendor relationships, creating strong partnerships through networking events, coffee dates, etc.
Creating innovative opportunities and bringing fresh ideas to the table to grow the organization.
Exceptionally closing sales from generated leads, while creating opportunities to actively find leads.
Qualifications:
Proven experience in event production, coordination, or planning.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
A keen eye for detail and a passion for excellence.
Ability to work under pressure and meet tight deadlines.
Passion for people and creating exceptional experiences.
Ability to read a room and know what is needed.
A creative mindset and a love for problem-solving.
Intuitively anticipate clients needs, and be able to hold space for them.
A creative or design background.
Exceptional sales skills, focusing on selling an experience as much as a service.
A positive attitude and a team-oriented approach.
