About the role: The Events Supervisor will be responsible for planning, coordinating, and completing a wide range of internal and external events, including corporate meetings, B2B/trade conferences, seminars, workshops, and social gatherings.
This role will require you to be onsite in our Hammersmith office 4 days a week.
Key Responsibilities:
- Plan and project lead all aspects of events end-to-end, including venue selection, catering, audiovisual equipment, transportation, accommodations, entertainment, and product displays.
- Develop event timelines, budgets, and resource plans, ensuring all events are completed within established parameters.
- Liaise with internal and external partners, including vendors, agencies, licensees, and event partners, to understand event requirements and ensure expectations are met or exceeded.
- Support the negotiation of agreements with vendors and suppliers to secure the best possible rates and terms.
- Provide on-site event management and support, overseeing staff, volunteers, and vendors to ensure smooth event execution.
- Run event budgets effectively, tracking expenses accurately, and providing regular status updates to the Communications Director.
Required Experience:
- Experience in event planning and coordination, preferably in a corporate environment.
- Experience establishing effective relationships and leading stakeholders within a large, multinational, matrix organization.
- Shown ability to handle multiple projects simultaneously and meet deadlines.
- Consistent track record of negotiating agreements with vendors and suppliers.
