Job Purpose
This role will be serving as the Executive Assistant to the CEO, managing front of house and office operations, and supporting key executives and the broader team with ad hoc administrative support.
Roles and Responsibilities
- Manage and maintain executive schedules, including scheduling travel, making appointments, and making changes to appointments.
- Answering and directing correspondence (calls, emails, etc.) to appropriate executives and parties, taking messages.
- Greeting visitors and determining access to appropriate parties.
- Taking notes on key meetings, as requested
- Maintain inventory and office supplies in NY. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.
- Ensuring office is well stocked for team, key meetings and that facilities are properly maintaining spaces
- Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment.
- Maintaining records of key information
- Excellent in written and verbal communications
- Ability to manage up and prioritize workload
- Updating key presentations and materials when requested
- Booking travel for key personnel and documenting itineraries
Preferred Qualifications
- B.S. in Management or related field
- 3+ years administrative support or executive assistance
- Able to multi-task
- Self-starter and entrepreneurial in nature
- Problem solving ability
- Attention to detail, accuracy, and timeliness
- Proactivity and look ahead mentality
- Overcommunication is an essential skill for this role
- Proficiency in G-Suite (GMail, Calendar, Docs, Sheets, and Slides)
- Deck/presentation design skills a PLUS
- Hybrid 3 days/week in Hudson Square / NYC office
Compensation
This position is full-time and pays between $65,000 - $95,000 + Benefits. The actual compensation offer will be determined by a number of factors, including, but not limited to, applicant's qualifications, skills, and experience.
