Job Title: Coordinator, Contracts & Rights

Location: New York, NY (Hybrid)

Status: Full-Time, Exempt

Job Summary:

The Coordinator, Contracts & Rightstracks, and organizes acquisition, distribution, and licensing deals, responds to film rights inquiries, and provides general administrative support.

Duties/Responsibilities:

  • In coordination with supervisor and department heads, draft memos, prepare signature copies of contracts, gather and file documentation for invoicing, payments and subsidies, and updating buyer lists.
  • Collaborate with internal stakeholders to ensure contract terms align with company goals and policies. Reviewing and annotating documents for company determined language.
  • Maintain the comprehensive and organized company rights database of all contracts and associated documentation for easy access and retrieval. File all agreements within the database.
  • Onboard film and television titles acquired and/or licensed with licensor/licensee details and contractual terms into the company rights database.
  • Ensure all data and information entered is accurate and updated over time to reflect changes such as terminations, expirations, renewals, amendments, or changes in ownership.
  • Track contract timelines, renewals, expirations, insurance requirements, and other key dates, ensuring timely notifications and resolution actions (e.g., issuing termination notices).
  • Monitor contract performance and compliance, including deliverables, milestones, and payment schedules, providing updates to relevant teams as needed.
  • Research film and television rights status for potential sales opportunities and updating availability lists, providing accurate and timely information.
  • Prepare reports and summaries on contract status, rights utilization, and key metrics.
  • Analyze rights data to identify opportunities for monetization or optimization.
  • Proactively identify and implement process improvements to enhance efficiency in rights and contract management workflows.
  • Perform general administrative tasks including but not limited to scheduling calls, setting up calendar invites, taking meeting minutes, reviewing event plans, etc.
  • Scan and organize physical and digital files to ensure seamless access and retrieval.
  • Follow up with various teams and external parties as needed to support contract execution and fulfillment.

Background & Qualifications:

  • Bachelor's degree required.
  • 6 months to 1 year of legal or data science experience preferred.
  • Startup/entrepreneurial spirit.
  • Proficiency in MS Office Suite and Google Workspace
  • Strong attention to detail and organization skills.
  • Multi-tasking across multiple projects.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer. Frequently communicates with co-workers, vendors, clients, etc. Must be able to exchange accurate information in these situations. Visual acuity to read records, documents, subtitles, etc., in electronic and analog versions.

Job Type: Full-time

Pay: $55,000.00 - $60,000.00 per year
