Reporting to the General Manager/Producer - Global Entertainment, the Entertainment Specialist will be required to:


  • Assist the General Manager/Producer - Global Entertainment with all administrative duties.
  • Make all necessary business travel arrangements for the General Manager/Producer - Global Entertainment.
  • Assist with all Headliners at the Encore Theater:
      • Work closely with AEG and Private Access to approve accommodations for the talent.
      • Coordinate special requests, including aviation needs as required.
      • Submit AEG headliner’s offer to legal for review and Contract/Agreement creation.
      • Track and update calendars for Encore Theater bookings and availability.
      • Send out Performance and Snack Bar Revenue Reports following each show.
      • Request Posting Master Account activation from the accounting team.
      • Create, submit and process the show settlement wire requests,
  • Create, process and track all purchase orders and invoices for Entertainment as well as for others as requested.
  • Communicate to PAD all cleaning needs for the Encore and Awakening Theaters based on the performance calendars.
  • Process all check requisitions, payments and expense reports as required for Entertainment.
  • Arrange all flights, accommodations and transportation for vendors and consultants or as requested.
  • Collect timesheets from the Technical Departments and verify that the hours listed match the UKG total hours report each day. Make department code changes as required and process SDC’s in UKG.
      • Contact Technical Managers about any UKG discrepancies and follow up until the issue has been resolved.
  • Work with Wynn’s vendor coordinator to set-up vendor accounts and make sure they stay compliant on an annual basis.
  • Schedule appointments, answer the phones, route calls and maintain the Entertainment filing systems.
  • Manage and process all show ticket requests for vendors/consultants, special guests and employees of Entertainment.
  • Build a rapport with the department heads, technical staff and various departments throughout the resort.
  • Order office supplies for Entertainment and ensure that an adequate supply is constantly maintained.
  • Oversee the mailing and receiving of all packages and mail. Sort and distribute as needed.
  • Assist with arranging all flights and accommodations for new cast members as requested.
  • Assist with planning and organizing all employee functions and recognition programs.
  • Assist with preparing the department handbooks for Entertainment.
  • Adhere to all company and department policies and procedures with an emphasis on maintaining a safe working environment.
  • Perform all other duties as assigned.

Qualifications


Job Experience / Education:

  • Must have a high school diploma or equivalent.
  • Minimum of three (3) years’ prior experience working in an Entertainment environment with at least one (1) year experience coordinating events and shows.
  • Prior experience working with a purchase ordering system a plus.
  • Prior experience with systems such as HotSos, UKG, SalesForce, and Ticketmaster a plus.
  • Must have an excellent knowledge of Microsoft 365 (Outlook, Teams, Excel, Word and Publisher)
  • Must be able to make PowerPoint Presentations.

  • Must have the ability to work with individuals from different cultures and backgrounds.
