Job Description
We’re looking for a Coordinator to join our team in New York as part of our Events department.
Reporting directly to the Executive Director, Events, you will play a vital support role in the management and success of MediaLink’s activations at industry tentpole events and MediaLink owned events.
A successful person in this role will have previous event experience, be a meticulous, organized, proactive self-starter, a team player, and comfortable in a fast-paced demanding environment, juggling many balls and wearing many hats.
The salary range for this role is $65,000 to $70,000 commensurate with experience and skills.
What You Will Do

Act as administrative support to New York team including relevant meeting scheduling, and other assigned tasks, supporting team in day-to-day tasks, follow-ups, meeting notes etc.

Work closely with Events team to build and adhere to event budgets

Own department billing submissions, tracking and timely payments for partners/vendors

Proactively maintain venues, vendors, catering relationships, updating shared database for department

Assist with MediaLink’s invitation platform, Event Farm, ensuring seamless on-site check-in processes and resolving any platform issues

Support with MediaLink invitation list curation and registration/RSVP tracking for tentpoles and one-off events

Be an active participant in idea generation, brainstorms and creative ideation on events

Support and own list management, invite and tracking process for all events and any promotional email materials (i.e. save the dates, etc.)

Source sponsorship collateral, premiums/holiday gifts and maintain inventory of companies branded items

Work with graphic designer to create invites and event collateral for events, manage collateral shipping and receiving for any off-site events

Own group travel, hotel blocks and transportation

Support team onsite at events such as but not limited to CES, POSSIBLE and Cannes Lions

Uphold strict level of confidentiality
What You Will Need

1+ year in an events support role in media, marketing, advertising, technology, finance and/or consulting fields (preferred)

A self-starter who takes initiative to work independently and effectively under pressure

Strong written and verbal communication and administrative skills (internal and client facing)

Possess strong attention to detail, problem solving and organization skills

Ability to interact comfortably and effectively with employees at the company at all levels as well as external partners and clients

Desire and capacity to operate in an incredibly fast-paced, multifaceted environment

Ability to meet deadlines and anticipate shifting priorities

Proficiency in Microsoft Office XP (Word, Excel, PowerPoint, Outlook) and Concur (expense reports)

Ability to travel
