The Assistant will provide administrative support to both the Chief Financial Officer and the Chief People and Culture Officer. You are productive, analytical, efficient, detail-oriented, tactful, and able to anticipate the needs of both offices.

Duties and Responsibilities:

  • Provide core administrative support including answering multiple phone lines (including the HR line), managing calendars, and preparing expense reports.
  • Schedule appointments and coordinate arrangements for meetings, conferences, and travel.
  • Oversee logistics for meetings and events including conference room reservations, establishing Zoom connections, requesting catering, greeting guests, and managing sign-in sheets.
  • Create meeting agendas and help edit staff communications.
  • Create Excel spreadsheets to track and monitor assigned tasks and projects.
  • Serve as staff administrative liaison for Finance, Audit, and Investment Committees. Responsible for scheduling meetings, taking minutes, and other administrative duties.
  • Serve as staff administrative liaison for the Academy Ethics Committee. Responsible for scheduling meetings, processing employee submissions to the Ethics Committee, and other administrative duties.
  • Reconcile and process department invoices for payment.
  • Track department expenses and help maintain department budgets.
  • Maintain detailed and accurate files.
  • Participate in periodic internal audits and take the necessary steps to correct discrepancies.
  • Write and edit communications, from letters to reports and instructional documents.
  • Organize and maintain files and databases in a confidential manner.
  • Manage communication including emails and phone calls.
  • Perform other related tasks as assigned.

Position Requirements

Qualifications and Requirements:

  • Bachelor’s degree in a business-related field or in lieu of a bachelor’s degree, an equivalent combination of education and experience will be considered.
  • 2+ years of administrative experience supporting an executive office.
  • Work experience in an administrative capacity for multiple executives simultaneously is a plus.
  • Skills to manage confidential situations, data, and documentation.
  • Experience balancing and accomplishing multiple tasks efficiently.
  • Intermediate Proficiency in the use of MS Office including Word, Excel, and PowerPoint is required.
  • Working knowledge and experience in utilizing databases such as Airtables and Access is preferred.
  • Experience in creating and implementing operational processes to improve efficiency.
  • Self-motivated, highly organized, and detail oriented.
  • Strong verbal and written communication skills are required.

The expected base salary for this role is $24.04 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
