Rooftop Films seeks a Print Traffic Coordinator (Part-Time, Contract) to assist the production of our 29th Summer Series film festival and special events, taking place May through September 2025 at various locations across New York City. This is a part-time seasonal position (mid April to early June). The Print Traffic Coordinator coordinates with film teams and external print traffic coordinators, secures on-time receipt of films and media, edits media, and manages files. The position reports to the head of Programming and the Executive Director.

Key responsibilities include, but are not limited to:

  • Masters Traffic Management:
    • Keep track of all master formats of films that are being screened as part of the Rooftop Films Summer Series, co-presentations, and partner events
    • Check masters, supervise edits of each screenings program in Playback Pro, and check for technical issues with playback
    • Maintain print tracking database
    • Track shipping, downloading and receiving of all films and videos, including origin, carrier, tracking number, Summer Series assignment and post-series destination
  • Track delivery and screening schedule of Sponsor and Partner commercials/trailers
  • Liaise with Technicians on playback and other issues prior to each screening
  • Create and organize Logo Screens for pre-show logo loops
  • Process screening fee invoices and payments to distributors and filmmakers
  • Maintain shipping costs within Summer Series budget
  • Assign, capture and edit event footage for use by the marketing/PR team (weekly) in Adobe Premiere
  • Coordinate Video Production Interns (if we have interns)
  • Contribute to event wrap reporting, evaluation and how-to manual
  • Other summer series related tasks (time permitting)

Qualifications:

  • Possess flexibility and strong organizational skills.
  • Must be self-motivated and able to initiate and complete tasks on deadline.
  • Ability to thrive in a small team environment, to take responsibility and to meet tight deadlines.
  • Ability to work collaboratively with internal staff.
  • Required Computer Skills
    • Extensive experience with Adobe Premiere Pro and Media Encoder
    • Familiarity with Photoshop and After Effects not required but a major plus
    • Familiarity with file conversion processes for digital film files (Media Encoder, Compressor, Mpeg Streamclip, etc.)
    • Basic familiarity with Excel or Airtable (preferred but not required) and Google Docs and Sheets
    • Familiarity with professional playback programs such as Playback Pro a plus
    • Basic familiarity with the basics of DCP delivery and certifications a plus
  • The work week will generally be 10-6, Monday-Friday, but on isolated occasions there must be some ability to work flexible hours when required including some evenings and weekends.

POSITION DETAILS

Contract Term: Mid-April 2025 to early-June 2025 with the possibility of extension to September 2025.
Schedule: Up to 40 hours per week for 7 to 8 weeks, based on a 3- to 5-day-per-week schedule.
Location: Rooftop Films’ Brooklyn Office with hybrid flexibility possible.
Compensation: $27/hour. This temporary position does not include benefits.
Reports to: Head of Programming and Executive Director
Start Date: Mid-April 2025
