Key Responsibilities:
  • Program Administration & Communication:
    • Draft general correspondence and emails on behalf of the coaching staff and club, ensuring professionalism and accuracy in all communications
    • Manage program email accounts and provide timely customer service
    • Serve as the primary point of contact for Regional Development School (RDS) tryouts
    • Coordinate and manage program schedules and events
    • Liaise with the marketing and social media teams to share department information and data insights
    • Schedule department meetings and communicate essential updates in a timely manner
  • Registration & Compliance:
    • Assist with the player registration process and ensure all required information (contact information, waivers, payments, etc.) is collected and accurate
    • Maintain accurate player rosters and program records
    • Ensure staff adherence to all staff training requirements, club policies, and safety protocols
    • Act as a liaison with venue partners and program managers to develop and maintain appropriate emergency action plans for each site
  • Equipment & Supplies:
    • Ensure all program equipment (uniforms, soccer balls, cones, etc.) is ordered, organized, and distributed.
    • Coordinate with coaches and staff members to ensure the staff is properly equipped for training and events
  • Other Duties as Assigned:
    • Support coaches with administrative tasks and assist with any other duties related to the functioning of the Youth Development department
Qualifications and Education Requirements:
  • Bachelorā€™s degree or equivalent experience in a related field. A minimum of 3 years of experience in administrative roles (e.g., program assistant, team administrator, executive assistant, or customer service)
  • Proficient in Microsoft Office Suite (Excel, Word, etc.)
  • Ability to multitask and work under pressure in a dynamic environment
  • Strong verbal and written communication skills, with the ability to communicate effectively with coaches, parents, and club leadership
  • Excellent organizational skills and the ability to implement tracking systems to ensure the smooth operation of the department
  • Strong interpersonal skills, with a collaborative mindset and the ability to work effectively within a diverse group of people
  • Ability to act with discretion when handling confidential information
  • A strong passion for youth sports and a commitment to fostering a positive and supportive environment for young athletes and their families
  • Must be able to work evenings and weekends, as tryouts and practices often occur outside of regular business hours
  • Physical requirements include the ability to occasionally lift and carry equipment up to 30+ pounds
  • Ability to speak Spanish is a plus
  • Familiarity with sports administration systems or scheduling software is a plus
