Verve Talent & Literary Agency is seeking a service-oriented Operations Coordinator.
The ideal candidate must be capable of working in a fast-paced environment while multi-tasking and appropriately communicating with various stakeholders.
Responsibilities:
Inventory Management- Oversee and maintain office inventory, including office and kitchen supplies, equipment, and tech devices, ensuring availability and operational readiness.
Voicemail and Communication Systems Management- Administer and maintain the agency’s phone and communication systems, including routing extensions, updating voicemails, and troubleshooting any technical issues in coordination with IT as needed to ensure consistent, high-quality service.
Zoom and Virtual Meeting Administration- Oversee the agency’s Zoom accounts and other virtual meeting platforms to facilitate secure and professional virtual engagements with clients and partners.
Facilities and Office Operations Support- Serve as a point of contact for office-related issues, including managing repairs, supporting facility safety/security protocols, coordinating with building management, and addressing workspace needs.
Event Coordination- Assist with the planning, coordination, and execution of a variety of events, including mixers, employee gatherings, and external-facing events. This also includes oversight of Verve’s screening room for internal and client use, coordinating with relevant teams to avoid scheduling conflicts and ensuring screenings run smoothly and on schedule.
Administrative Support for Operations Team- Provide administrative support to the Operations Director, including handling department scheduling, coordinating with other departments, offering data-driven insights for process improvements and preparing internal communications.
Requirements:
Key Skills and Qualifications:
- Bachelor’s Degree in Business, Operations, or a related field preferred.
- 2+ years of experience in an operational, logistics or administrative role, preferably in an agency, entertainment, or other fast-paced professional environment.
- Strong organizational skills and an ability to manage multiple priorities with attention to detail and a focus on accuracy.
- Technical proficiency with phone and communication systems, Zoom, and Microsoft Office Suite; experience with inventory management software or financial tracking tools is a plus.
- Excellent problem-solving skills and a proactive mindset to anticipate and address operational issues.
- Effective communication skills for clear coordination with team members and across departments.
- Customer service orientation with a high degree of professionalism in all interactions, internal and external.
