Job Summary:

Responsibilities:

  • Effectively prepare and plan meetings, coordinate and report meeting outcomes and drive accountability to deliverables (due date management)
  • Executive admin support – Proactively manage diary and travel coordination, expense administration
  • Expense Administration – Reconcile & manage expenses including purchasing (e.g. maintaining p-card, submitting Purchase Orders, etc.) and checking of expense reports to ensure that all expenses are in compliance with our company’s T&E policy
  • Event Management – Support relationship development, secure and coordinate Partner Events & Meetings and associated hospitality. Work in conjunction with Disney Events team to execute where necessary
  • Project Management – coordination and tracking of product-related information, consolidation of presentations and reports, agenda preparation, meeting minutes and follow through on critical items with key stakeholders
  • Special project management, development and coordination (e.g. kickoffs, team offsite, project follow up & coordination)
  • Effectively manage communication flow across all stakeholders, both internal and external
  • Prepare & distribute partner communications (external) as required
  • Provide ad-hoc team administration support to the business (as required)

Basic Qualifications:

  • Minimum 3 years’ admin support, ideally supporting senior management at Japan and/or APAC/ regional level
  • Experience required in coordination, project management and reporting
  • Ability to anticipate calendar and day-to-day needs to facilitate executives’ schedule and workload
  • Advanced Microsoft Office, Outlook, Powerpoint, & Keynote essential; Zoom knowledge preferred
  • SAP/Workday, Concur, and general technology skillset advantageous
  • Strong communication and presentation skills required 
    Fluency in Japanese, and basic English verbal and written communication 

Preferred Education

  • Business administration or Project management degree or Diploma advantageous (planning, marketing, product management, financial & communication skills)
