Job Purpose
The SXSW Partner Programming team supports sponsorship clients who have purchased one of our many programming assets available across SXSW Conferences and SXSW EDU. We help clients adhere to SXSW guidelines and work cross-functionally with internal departments to prepare clients for a successful on-site experience. The Seasonal Partner Programming Associate will work directly with the Partner Programming Manager to advance, schedule, and prepare session organizers for a successful SXSW 2025 season.

Duties & Responsibilities
Responsibilities include, but are not limited to:
  • Maintain Partner Programming data hygiene within Airtable databases.
  • Field questions and promptly respond to emails received via the Partner Programming support inbox.
  • Support the advancement of asset deliverables across sponsored conference sessions:
  • Track collection of speaker agreements, client contracts, and assets per internal marketing & print deadlines.
  • Ensure dissemination of client information across different internal systems (session descriptions, scheduling times, locations, and speaker headshots/bios in online schedule listings).
  • Vet change requests to session content per SXSW guidelines.
  • Proof online schedule listings for accuracy before they are live on the SXSW schedule.
  • Administer speaker communication campaigns for on-site readiness.
  • Contribute to photo shot lists for clients and assist with client photo shares after the event.
  • Report on post-event performance and recommendations for future improvement.
On-Site Responsibilities
  • In addition to the responsibilities listed above, on-site responsibilities include but are not limited to:
  • Oversee the programming run of show at a Partner Programming venue (to be assigned) and assist with client and speaker questions upon arrival.
  • Check-in on other Partner Programming venues across Downtown Austin to ensure client satisfaction and custom requests have been fulfilled.
  • Monitor smooth operation of event problem-solving as needed, escalating any issues found to the Partner Programming Manager.
Qualifications & Skills
Qualifications include:
  • Experience in brand partnerships, conference production, or event planning.
  • Deep curiosity about brand marketing and emerging marketing trends.
  • Possess a proactive, collaborative, and organized working style with attention to detail.
  • Maneuver between multiple project timelines in a fast-paced, changing environment.
  • Be dependable and show extreme ownership over your area of responsibility.
  • Passionate and creative with the ability to think critically about solving problems.
  • Must be comfortable maintaining confidentiality and discretion when working with high-profile talent.
  • Possess a sense of professionalism when working with clients across various industries.
  • Proficient with G-Suite and Airtable is a plus.
  • Tech, Marketing, Entertainment, or Education industry experience is a plus.
Physical Requirements
The typical office work environment is quiet. This position requires you to stay 14 consecutive days away from home. During the event, there will be long periods of standing and walking.

Work Location & Schedule
The position is located in Austin, Texas. Core business office hours are Monday through Friday, 10 am—6 pm. However, from January through March, you must be available to work additional hours, including evenings and weekends.
