The Executive/Personal Assistant to the CEO at Krupp will provide high-level administrative support, managing the CEO's complex calendar, coordinating communications with key stakeholders, facilitating travel arrangements, and overseeing project logistics, while maintaining strict confidentiality and acting as a primary point of contact for internal and external inquiries, requiring exceptional organizational skills and an understanding of the PR industry.". 


Key Responsibilities:


  • Calendar Management:


Proactively manage the CEO's personal and business calendar, scheduling meetings, appointments, and conference calls with clients, media contacts, and internal teams, ensuring efficient time utilization. 


  • Provide balance and breaks in the executive's schedule to enhance productivity.


  • Communication Management:


Act as the primary point of contact for the CEO, handling incoming calls, emails, and correspondence, effectively filtering and prioritizing communications. 


  • Update and maintain contact databases to ensure accurate and current information.


  • Travel Coordination:


Arrange complex travel itineraries, including booking flights, accommodations, and ground transportation, while managing necessary receipts or documentation and expense reports. 


  • Meeting Preparation:


Ensure agendas, and other relevant information or presentation materials for internal and external meetings are received by the CEO in a timely fashion to ensure proper preparation before meetings. 


  • Project Support:


Assist the CEO in managing key projects, including tracking deadlines, coordinating with cross-functional teams, and ensuring timely completion. 


  • Public Relations Support:


Help with media outreach, and other communications materials aligned with the agency's PR goals and strategies. 


  • Client Relationship Management:


Maintain strong relationships with key clients by coordinating communication, addressing inquiries, and ensuring client satisfaction. 


  • Send gifts/tokens of appreciation as needed to key contacts to maintain positive relationships.


 


  • Administrative Tasks:


Manage expense reports, maintain accurate filing systems, assist in coordinating/planning events and internal meetings as needed.


 


Required Skills and Qualifications:


  • Exceptional Organizational Skills:


Proven ability to manage multiple priorities including personal tasks and appointments, meeting important deadlines with careful attention to detail, helping to maintain workflow and consistent productivity, function as a liaison between account team and CEO to ensure consistency in internal and external communications on behalf of the CEO, provide accurate reporting of open and completed action items.


  • Excellent Communication Skills:


Strong written and verbal communication skills to effectively interact with diverse stakeholders


  • Proficiency in PR Industry:


Understanding of public relations and media trends.


  • Discretion and Confidentiality:


Ability to handle sensitive information with the utmost confidentiality. 


  • Technical Skills:


Expertise in Microsoft Office Suite, Google Suite, Zoom, calendar management tools, and CRM platforms. 


  • Experience:


Minimum of 3 years of experience as an Executive Assistant, preferably within a public relations agency.
