THE ROLE:
We are seeking a detail-oriented Legal Operations Specialist to support the signing process for contracts and other legals documents for our Business and Legal Affairs team. The ideal candidate is a proactive, attuned individual with experience in the legal operations, contract management, or legal administrative field. You will be working closely with all members of the team, including our General Counsel, and will be expected to roll up your sleeves and proactively support the team in all aspects of legal operations as needed.

Compensation
Actual compensation within the pay range will be decided based on factors including, but not limited to, skills, competencies, prior relevant experience, and work location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses and incentives.

RESPONSIBILITIES:
- Facilitates the signing process for contracts and other legal documents, ensuring they are executed efficiently and stored systematically.
- Develop and maintain organized systems for document retention and retrieval to support the company’s needs.
- Monitor and track all deals and agreements across the organization to ensure proper prioritization, documentation and execution.
- Track and report on the progress of legal projects, providing regular updates to the General Counsel.
- Provide support for rights management, including tracking and organizing intellectual property or contractual rights.
- Develop, implement, and maintain efficient legal processes and workflows.
- Identify areas for improvement within the legal department and recommend solutions to increase productivity and efficiency.
- Manage and optimize legal technology platforms, including contract management systems, e-billing software, status charts and other and tools.
- Provide litigation support.
- Assist in the preparation and management of the legal department’s budget.
- Develop and maintain legal metrics and reporting to provide insights into the performance of the legal department.
- Analyze data to identify trends, risks, and opportunities for department improvement.
- Act as the primary notary public, verifying and notarizing company documents as required.
- Provide administrative and operational support to all lawyers in the department as needed, ensuring seamless workflow and project completion.
- Bachelor’s degree in business administration, legal studies or related field preferred
- 3-5 years of experience in legal operations, contract management, or legal administrative support
- Familiarity with AirTable
- Proven experience in an in-house legal department or law firm
- Proficiency in contract management systems and e-billing software
- Working understanding of document retention, and legal workflows
- Ability to develop and improve legal processes and workflows
- Strong ability to track, report, and analyze legal data and metrics
- Familiarity with contract execution processes and best practices for document management, familiarity with gathering signatures via DocuSign
- Notary Public certification (or willingness to obtain one)
